QuickBooks Online vs Xero: which is better for a US small business?

Both are solid cloud accounting platforms. The better choice depends on your team, your accountant, your currencies and the other tools you use.

QuickBooks Online and Xero are the two cloud accounting systems we see most often. Either can run a small business well, and a good bookkeeper can work in both. The right answer is usually about fit, not features alone. Plans and prices change frequently, so check each provider's current pricing before you decide.

Where QuickBooks Online fits best

  • You work with a US accountant or lender who already uses it, and want the smoothest handoff
  • You need integrated payroll and contractor reporting in one place
  • You use US-focused apps for inventory, point of sale or e-commerce that integrate natively
  • You expect to add more advanced reporting or additional users as you grow, and are comfortable with plan tiers

Where Xero fits best

  • You have several people who need access, because user count does not change the price
  • You value a clean interface and strong bank reconciliation
  • You operate across currencies or have a team outside the US
  • You work with an accountant or bookkeeper who prefers Xero

Things that matter more than the logo

  • Your bookkeeper's skill. Software does not fix miscategorised transactions. A reviewed monthly close matters more than the platform.
  • Chart of accounts design. A chart built for your business makes reports meaningful from the start.
  • Integration with the tools you already use. Payment processors, marketplaces and payroll should sync reliably.
  • Migration effort. Switching later is possible but takes time. Choose once, with growth in mind.

For non-US founders

If you own a US company from abroad, pick the system that handles your needs for multiple currencies and shared access, and make sure the books are kept to US standards so the annual filings, including Form 5472, can be prepared from them.

Our recommendation approach

We work in both platforms and recommend based on your situation: team size, integrations, currencies and any existing software. If you already have one that works, we usually keep it. If you are starting from scratch, we help you set it up properly. Learn more about our bookkeeping services.

Frequently asked questions

Is Xero or QuickBooks better for a small business?

Neither is universally better. QuickBooks suits businesses that want the broadest US accountant support and integrated payroll, while Xero suits teams that want unlimited users and strong bank reconciliation.

Can I switch from QuickBooks to Xero?

Yes. Data can be migrated, but it takes planning to preserve history and check balances, so it is best done at a month or year end.

Do accountants prefer QuickBooks?

Many US accountants use QuickBooks, but plenty also work in Xero. A good bookkeeper can work with either.
